Overview & Requirements: 

 Job Purpose

Reporting to the Director, Corporate Services, this incumbent in this role will be accountable for the organization and running of the daily administrative operations of the company. The individual will be involved in every part of the business. With multiple training courses, lunch and learns, internal celebrations and other functions always happening at the office this position will offer a candidate the opportunity to work in a fast-paced environment.
 
Duties and responsibilities
 
Office Administration
  • Answer incoming calls and forward to appropriate people in the office
  • Order and keep track of business supplies, handouts, business cards etc.
  • Greet and attend to office visitors
  • Manage admin network drive, ensure that all lists are updated
  • Arrange couriers, distribute mail, send out invoices
  • Service requests with vendors
  • Assist all other departments as required
  • Manage and organize internal celebrations
  • Represent ACM through ongoing interface with both new and existing training customers and participants
 
Sales & Training Support
  • Conduct research to identify potential new clients 
  • Actively support the sales team with campaigns, sales promotions, tradeshows, conferences and other events. 
  • Oversee all training course administration including materials, logistics, classroom functionality and instructor needs. 
  • Manage internal procedure, process and workflow as it pertains to Open Enrollment & Cohort Training deliveries (registration tracking, scheduling, course logistics, administration, vendors etc.)
  • Oversee design, printing and delivery of printed materials and signage required for events
  • Ensure backup plans are in place for all aspects of the event
  • Work with internal clients to determine event logistics such as budget, venue, catering, collateral, and amenities
  • Prepare event collateral, including invitations, media backgrounders, and marketing materials
  • Develop event invitation lists and coordinate invitation/rsvp processes
  • Implement standard business practices throughout the course of all events
  • Provide detailed reporting of events and conduct analyses which include evaluations, key learning points, and recommendations for future enhancements
 
Qualifications
 
  • Post-secondary education in Business Administration is preferred. Other post-secondary education is also acceptable
  • Outstanding time-management and multi-tasking skills
  • Excellent written and verbal communication skills
  • Ability to deal with distractions
  • Excellent computer and data entry skills
  • Outstanding attention to details
  • Self-motivated, confident and organized
  • Ability to effectively liaison with all departments and management
  • Critical thinking and ability to take ownership 
 
Working conditions
 
This role will function within a typical office environment. Workloads will very greatly, with frequent periods of intense activity and tight deadlines.
